Management Services

Rental Management:

  • Acquire completed Application form, Identity document and proof of income from Tenant.
  • Perform Experian, Trans Union ITC Credit and Tenant Profile Network (TPN) enquiries obtaining background information on the Tenant’s credit profile and rental history.
  • Prepare and conclude lease upon agreement with Landlord.
  • Collect Deposit/s in accordance with the Lease Agreement to be held in an interest bearing trust account.
  • Perform pre-occupation inspection and compile defect list.
  • Manage and administrate the Property and keep a proper record of income and expenses on a monthly basis.
  • Collect monthly rental(s) and ancillary charges from the Tenant(s) in accordance with the Lease Agreement signed by the Tenant(s).
  • Exercise reasonable credit control.
  • To notify the Landlord immediately with regard to outstanding rental owed by the Tenant to the Landlord and take any legal steps upon the Landlord’s instructions to recover the outstanding rental, the costs of which shall be for the Landlord’s account.
  • Blacklisting the defaulting Tenant if required to do so by the Landlord and provided that such blacklisting is reasonably possible.
  • Arrange for repairs and maintenance of the property upon written confirmation from the Landlord, the cost of which shall be for the Landlord’s account.  Should the Managing Agent be required to perform an inspection upon repairs an inspection fee of R350-00 will be applicable. 
  • Endeavour to recover cost of repairs or replacements necessary, where the Tenant has damaged the property.
  • Pay from the rental collected the Rates and Taxes and all other statutory levies on the property as prescribed by the local authorities (if applicable).  Should the Tenant for any reason whatsoever not effect payment of the monthly rent, the Landlord shall pay the charges direct to the relevant authorities.
  • The service accounts which are to be paid by the Managing Agent from the rental collected are set out in an Annexure A attached to the Mandate document.
  • Inspect the property on a 6 (SIX) monthly basis and submit reports to the Landlord when considered necessary.  Should the Landlord require more inspections during a 6 (SIX) month period, the parties hereby acknowledge that each additional inspection fee of R350-00 per inspection shall be for the Landlord’s account.
  • Provide Rent Reports to the Landlord on a monthly basis.

Cleaning Services:

We also provide a pre/post occupation unit and carpet cleaning services to ensure the units are in good order prior to occupation taking place.  The service is offered to Landlords, Tenants, Estate Agents, Property Management Agents and Property Developers. 

  • Washing all surfaces and remove dust
  • Scrub walls, floors and tiles
  • Clean window glass, windowsills and window frames
  • Full cleaning of kitchens and bathrooms
  • Clean all cupboards and more
  • Carpet cleaning and stain removal

Sectional Title Management:

  • Administrative -

Repairs and maintenance, Employees payments, Labour legislation, Employees service contracts, Valuations and Insurance.

  • Accounting -

Manage and keep proper accounting records of all income and expenditure incurred through the administration, prepare monthly levy and expense reports, arrange annual audit with auditors, prepare annual budgets, attend to all statutory requirements.

  • Secretarial -

Maintain statutory records, minute books, attendance registers, register of sectional bond holders, sectional plans, rules, insurance policies and all other records and files pertaining to the Body Corporate.  Draft and dispatch of circulars, notices, agendas, proxies and nomination forms for General Meetings of owners and Trustees. Attendance at the Annual General Meeting and meetings of Trustees as required, as well as Special General meetings.  Keeping proper minutes of meetings.  Assist and advise Trustees on procedural matters and the enforcement of rules.
